What Specific Permissions Grant Access To

Overview & Glossary

Permissions are divided into different categories based on their purpose.

 

In order to make sense of the individual rights, it is helpful to understand some key Compyle terminology

  • Form: A set of fields and sections for tracking data; the structure used for entering data

  • Form Record: A saved entry for a form. Each record holds data for one form.
  • Entity Type Form: Participant, Organization, Household, or Anonymous; a profile form where each record has its own folder and can have additional, supporting records
  • Survey Form: a form where information is gathered in time period specific instances which offer email survey reminders and electronic signatures; frequency can be daily, monthly, quarterly, annual,etc 
  • Note Type Form: a form where records are added directly in the entity record folder and new daily instances are automatically created 
  • Supporting Forms: a collective term for Survey Forms and Note Type Forms
  • Group: a collection of Entity records
  • Data Collection: a category of survey forms
  • Archive: to deactivate a record or form so it is no longer available for use but can be restored later as needed
  • Archive Form Record: To deactivate a saved entry of a form, hiding it from analytics, exports, and the entity folder 
  • Archive Form: To deactivate an entire form, making it disappear from the Entity folder and from Analytics and adding it to the data collection/inactive list.

Form Permissions

  • Record Actions: what you can do with a particular participant, survey, or note entry

    • View: Search for and look at records of the form
    • Create/Edit: Add new records. Update saved records. Use the Save button.
    • Archive: Put the record into deep storage. Remove it from analytics and active search results.
  • Manage Form: all of the parts for designing, building, and improving the structure of a form; in the Form Management Folder - full access to Fields tab, Rules tab, Settings tab,

Feature Permissions

Survey Instances

  • View Instance: Look at future, current, and past instances; Survey Instance Overview, Instance Report.

  • Create/Edit Survey Instances: Make new instances, rename them,  and copy responders from a prior instance

  • Start/End Survey Instances: Start a pending instance. Close an In Progress instance. Reopen a Closed instance. Start All Pending and Close All In Progress Instances buttons

  • Take Surveys for Responders: Survey Instance Overview page – edit & complete pending/ in progress responses. Use the Participant Multi-Entry Form

  • Manage Survey Notifications: Send email notifications to survey respondents from the Survey Instance Overview page individually or in groups

  • Manage Survey Responders: Survey Instance Overview page - add responders

Analytics

  • Compylations: Create, edit, and export compylations and calculations

  • Entity Outcomes: Create, edit, and remove single survey/note data point reports within a particular entity record folder

  • Compyle-to-Scorecard Feeds: View, rename, schedule, export data, and transfer data for existing feeds.

Administrator Permissions

  • Organize: Arrange into Groups and Form Category Collections, Manage Compyle Instance Settings

  • Permissions: Manage Roles, Users, Group Limits for Users

  • Templates: Customize templates for logic messages, survey email reminders, and publishing compylation reports

  • Form Design: Create & Customize Entity forms, Public Forms (purpose-built entity views), delete fields and forms

  • Manage Records: View All Data Exports, Add & Edit Sets of records with Import, Merge Duplicates, Review Pending records, Delete Records

Delete Permissions

Delete: Access to delete records, delete fields, and delete forms is only assigned to Administrators. Custom roles may be granted delete permissions, but archive rights are strongly recommended.

Each type of deletion is a distinct privilege.

  • Delete Records: Remove a single note entry or survey response. Remove a participant or other entity without any surveys/notes or household links.

  • Delete Fields: Permanently remove a field that may have collected data previously

  • Delete Forms: Permanently remove a form along with all its sections and fields. This typically is limited to forms that are not used in compylations and have no existing survey instances

Deleted fields, forms, and records can usually be retrieved from backup and restored, but there is a cost for data retrieval and restoration
