Compyle Release Notes: Permissions Precision Upgrade - Dec. 2025
Manage Roles List refresh, Added Permissions Privileges, Report Templates Preview, and Remedies
Introduction
With this upgrade, we're making changes to allow for more focused permissions, so you can tailor the permissions for each person's role in your organization.
Working with records and response for notes and surveys is now separate from being able to change the fields, sections, and rules for those forms. For entity forms, like Participants and Organizations, you can now choose which entities your users may work, and access to approve pending records is a separate permission. Likewise, importing records is now distinct from access to create individual records. We also added specific permissions for newer administrative tools so they can be made available to select non admins as needed.
This release is the first phase of expanding permissions for greater flexibility when managing access for users in Compyle. The added complexity of these more nuanced controls is balanced by the built-in standard roles for Compyle, the ability to create custom roles to meet emerging needs, and the option to copy and edit existing roles to accommodate new positions.

Manage Roles List
In the Admin> Manage Roles list, new search and filter options make it easier to find roles. Most columns are now sortable. The new Permissions count shows how many specific rights the role includes, and the Type column identifies whether the role is a built-in Standard role or a Custom role.

The new Action menu gives you the option to view, edit, or copy a role to create a new custom role.
Standard Roles
The Administrator, Creator, and Viewer roles have been expanded to use the new permissions. More detailed descriptions for these roles are designed to offer more guidance as you decide what role is best suited to each user.

Users with this role have access to view, create, edit, and archive all entity records (participants, organizations, households, anonymous), all survey form records, and all note type records. They have Manage Form permissions for all survey forms and note type forms, so they can create new forms, change the structure of the forms, and edit the form logic rules. They have full access to create, start, edit, and end survey instances, send survey notifications, take surveys, and manage survey responders. They can create and rename data collection categories for survey forms. For entities, they can create and update groups, import new records, and accept pending records. They also have access to compylations and scorecard feeds. |

Data Entry User |

Users with this role may create, edit, and view records for Participants, Organizations, and Households. They can see saved notes and survey form records. They can create and update note and survey records. However, users with this role cannot edit the questions that are on the survey forms and note forms. They may not create, start, end, or edit survey form instances, but they can add responders to existing pending and in progress instances. They can also take surveys for responders, but they may not send out survey notifications. This role is more limited than the Creator role but can do more than the Viewer role. |

Users with this role can only view saved records for entities (participants, organizations, households, and anonymous). They can view survey records and note records, but they cannot add or update any records. They can download files but not add new ones. |
New Standard Role: Data Entry User
A new standard role, Data Entry User, fits between the form editing Creator role and the read-only Viewer role. It is intended for users who add or update entity records, like Participants, fill out notes, and take surveys on behalf of service recipients.
The permissions for this role are as follows:

Expanded Role Permissions
The permissions have grown from twenty-four to fifty-three distinct rights to allow for more nuanced roles and responsibilities.
- Changing forms is separate from entering data in those forms.
- Creating groups is separate from adding members to groups
- Importing batches of records is separate from creating single records
- Reviewing pending participants is separate from viewing accepted participants
- Access to each entity form -- Participant, Organization, Household, and Anonymous -- is now distinct. The same role can have different permissions for different entities, like creating/editing participants but only viewing organizations.
- Manage & Merge Duplicates is now a permission that can be granted to non administrators.
- Delete access is reserved for administrators and those who are intentionally granted that right.
The Edit Role page has been updated to better display the expanded permissions and to align more closely with other areas of Compyle. The permissions are broken up into sections and subcategories depending on what they control.
Form Permissions
Form Permissions are separated by the specific type of form and further divided into actions with form records and building the form.
- Record Actions: what you can do with a particular participant, survey, or note entry
- View: Search for and look at records of the form
- Create/Edit: Add new records. Update data in saved records.
- Archive: Put the record into deep storage. Remove it from analytics and active search results.
- Manage Form: all of the parts for designing, building, and improving the structure of a form
- Fields tab: Edit Fields, Edit Sections, Archive Fields, Add New Field, Add Existing Field, Add New Section, Archive Section
- Rules tab: Add Form Logic Rules, Print with Rule active, Deactivate rule

- Settings tab - Responder Settings section: Change Responder types, Adjust Public Form, Accept Referrals, Set up Participant Instructions

Feature Permission
Feature Permissions are related to working with forms and data. They are broken out into three categories: Survey Instances, Analytics, and Referral Network.
Survey Instances:
- View Instance: Look at future, current, and past instances. View the Survey Instance Overview page for a particular instance. View the Instance Report.
- Create/Edit Survey Instances: Make new instances and copy responders from a prior instance. Edit the name for an instance.
- Start/End Survey Instances: Start a pending instance. Close an In Progress instance. Reopen a Closed in stance. On the Form Folder - Instance tab, use the Start All Pending and Close All In Progress Instances buttons
- Take Surveys for Responders: From the Survey Instance Overview page, open and complete pending and in progress responses. Use the Participant Multi-Entry Form to complete multiple instances at once.
- Manage Survey Notifications: Send email notifications to survey respondents from the Survey Instance Overview page individually or in groups via the Send Survey Reminder section.
- Manage Survey Responders: From the Survey Instance Overview page, add responders to the survey instance for in progress instances.
Analytics:
- Compylations: Create, edit, and export compylations and calculations
- Entity Outcomes: Create, edit, and remove single survey/note data point reports within a particular entity record folder bas
- Compyle-to-Scorecard Feeds: View, rename, schedule, export data, and transfer data for existing feeds
Referral Network: (learn more here)
- Manage Participant Referrals: for Compyle-to-Compyle service recipient referrals, view pending referrals, send new referrals, document that participant agrees to be referred.

Administrator Permissions
Many of these are features that appear in the Admin section of the left sidebar menu. Some used to be automatically included in record permissions:
- Import Records & Import Links: separated from Create/Edit entity records
- Manage Pending Records: separated from View, Create/Edit entity records
- Manage Groups: Creating & editing groups & group fields is now separate from assigning entities to groups
- Manage Data Collections: Creating & editing survey form categories is now separate from accessing forms within their respective categories.
- Delete: Access to delete records, delete fields, and delete forms has been removed from the Creator standard role and only assigned to Administrators. Each type of deletion is a distinct privilege.
- Delete Records: Remove a single note entry or survey response. Remove a participant or other entity without any surveys/notes or household links.
- Delete Fields: Permanently remove a field that may have collected data previously
- Delete Forms: Permanently remove a form along with all of its sections and fields. This typically is limited to forms that are not used in compylations and have no existing survey instances.
- Note: A custom role that has delete privileges can be created and assigned if non administrators will be deleting certain items. However, caution is advised; most records and objects can be safely archived in case they are needed later rather than deleted.

Permissions for All Users Automatically
In order to login and open Compyle, users require access to the homepage, the top navigation menus, and the left sidebar navigation menu. This section of permissions simply reminds you that all users have this access.

Report Templates
This is a new feature that is being added in anticipation of changes coming in early 2026 to allow publishing compylation reports with multiple calculation graphs and data tables shown together.
The Report Templates accept text formatting and images, along with variables drawn from the compylations and calculations used in the published report. The templates provide a way to customize the reports to include your organization's logo and branding, recognize teams and individuals who played a key role, and ensure the resulting reports are as professional looking as possible.
Currently, the Report Templates include the following individual templates.

You can generate a sample PDF of your report elements to preview how they will look.

Assorted Remedies:
Survey Instances for future dates will appear in the Current Instances section.
Scorecard Feeds scheduled quarterly midway through the current year will have data transfer dates only for the remainder of the year and not the past. A similar remedy applies to fiscal year transfer feed scheduling.
