Filtering Data Downloads, Import Improvements, and More

This month's upgrade is focused on readily retrieving the information you need and more easily updating records. Continuing our theme of data management, there are search filter improvements, import refinements, and export enhancements.

Export File Filters - When Less is More
There are now two types of filters for downloading data from Compyle: list filters and date filters. List filters are those already present in the All Participants List and All Organizations List. Date filters are based on the dates for survey responses and note records.
In Compyle, there are twenty different places you can export data from. Not all filter options would be useful in every situation. To keep it simple, the filter options are based on the kind of information being exported and where it is coming from. If there are already built-in filters, like how the date range is defined for a particular survey form instance, then the system will not offer a different date filter.
In My Downloads and Data Download, icons will appear after the filename when filters were used to generate that export file. The funnel indicates list filters, and the calendar denotes date filters.
List Filters
for Exports
When you search for All Participants, you can narrow down the result list with filters based on information entered on the Participant form. This includes:
- Standard Fields: built-in participant fields, like first name, and system fields, like Created Date
- Custom Fields: fields your organization added to the participant form
- Group Assignments: which group or groups the participants are associated with
- Group Specific fields: custom fields connected to a group that appear on the participant record for active group members
Similar list filter choices can be found in the All Organizations search list and the Group member list for both participant groups and organization groups. In all four places, you now have the option to apply those same list filters to your export.
The Apply List Filters option may only be selected when there are filters selected for the list view. You will need to set the filters from the list view before you select the : > Export option.
Date Filters

When downloading survey form responses and note form records, you now have the option to choose the timeframe for the records. There are a couple of predefined periods, such as the past month and the current year, as well as several custom options where you choose the date(s).
- Last 30 days: All records added in the past 30 days (approximately a month)
- Calendar year to date: All added since Dec. 31st of last year.
- Custom filters: user specifies one or two dates to filter by
- Before: All records entered before this date
- After: All records added after this date
- Between: Records created on or after the start date and on or before the end date
Note Downloads - Standard Notes, too
Standard notes can now be downloaded from the participant folder. These are the simple date plus paragraph field forms that are automatically included in all Compyle sites.
On the Notes tab in the document folder, Download Notes is now a menu with two choices instead of a button. The options are: Download Standard Notes and Download Custom Notes.
Update by Import - Simplification
Now, update import files are smaller and more manageable. You only need to include the identifying field (Record ID or Participant ID) and the fields that are changing. This is an improvement as all fields had to be included in the original version of the update by import feature.
Search Filters: Compyle Record ID Filter
You now have the option to search by Compyle Record ID as standard field filter when viewing the All Participant list, the All Organizations list, My Cases, and the Group member list. This will also help you more easily find and review records that were updated by Record ID.

- Current fiscal quarter start date set appropriately when survey link usage prompts new survey instance creation.
- Import file validation warnings are more clear when fields appear to have been swapped.
